If you are considering a CRM change, this may be of some help. Over the years, I have learned that ... more If you are considering a CRM change, this may be of some help. Over the years, I have learned that I am not good at hiring assistants to help run my business. As a result, I decided long ago, to become extremely organized and perform as much of my marketing and transaction management on my own as possible. I operate with one assistant. To that end, I have long since been an avid ACT user. Overall, ACT is a perfect solution for the solo broker. The problems with ACT arise when you add users with different locations. This requires advanced set up and synchronizations. In addition, running a real estate business requires ACT data customizations. I am experienced with all of that. However, the real down falls with any application software is computer issues that we all encounter. Despite my best efforts, I have had computers stolen, hard drives crash and mother boards fail. I have always maintained a backup plan so loosing the data was not the issue, rather re-installing the computer system and the data. It takes a long time and is frustrating. Finally, having true on-demand CRM with my smart phone, ipad and computers of customer data, requires complicated synchronizations with between the CRM and the devices. This synchronization is not without problems. (ACT sync with Google is not a good product at the time, just do a Google search and you will see...) I have also used ACT hosted meaning the main database is hosted on the cloud with a provider. (Typical fee for this is about $35/mon but portions of ACT are not usable like e-marketing and Smart Tasks. This means you have to sync with a computer to use them. In addition, you have to buy ACT Premium which is more expensive than ACT. And ACT ALWAYS comes out with a new version each year that you need to pay per seat to upgrade.) After losing important calendar and task data through ACT synchronizations, I finally got fed up and decided to embrace the Cloud! Here is what I did: 1. converted all my email information to a Gmail account, thus eliminating the Outlook nightmare. 2. copied over all my files to Google Drive (on line file storage and share similar to Dropbox), thus eliminating the need for complex file sync software. 3. started using Google Apps for my typical MS documents like Word and Excel, this eliminating the need for MS Office. 4. researched extensively, all of the different CRM options. If you do the same, you might find what I did. Most CRM systems are a mix between desk top and cloud based. Almost all CRM systems that are truly cloud based are expensive, especially the real estate solutions, like Top Producer for example. (All are way too expensive in my opinion, typically around $100/user/month all-in.) When looking at other business class cloud CRM applications like Saleforce, you will find some excellent real estate integrations. Again, they are very expensive, especially when you calculate the monthly seat cost in addition to add-on applications you will need to run effective email drip marketing and email blast functions. The exception is with ZOHO. (see www.zoho.com) They offer a suite of products that are packed with features and very well priced. For under $70 a month, you can have their enterprise edition (includes 3 users), email, and a full suite of email marketing capabilities that will allow you to perform drip email campaigns, blast emails and a TON more. The list of features is extensive. Here are a few more features that I really like. The product gives you the ability to start chat rooms with your clients and vendors perfect for transaction management use when a deal is under way. Document storage, data base integration with your website (including sign up forms) and the option (for a fee) to host formal project management delivery (great for commercial brokers). In order to take advantage of this, you MUST: 1. understand the different ZOHO applications and how they interact with ZOHO email, Gmail and CRM 2. understand how a business class CRM works with regards to the lead to contact to deal work flows. 3. customize the CRM application to work with your current data AND customize the ZOHO CRM to work for real estate brokerage. 4. migrate your current data to ZOHO (they can help you with this for a nominal fee) Here is example of what I mean with regard to the real estate application. ZOHO calls typical CRM Opportunities 'Potentials' The Potential section of the CRM is where you will track your brokerage contracts, offers, closings and properties sold. The benefit is that when you are finished, you will a 360 degree view of any piece of the brokerage process. In addition, ZOHo allows for complex workflow rules (just as Salesforce) to automate your business if you like. Workflows are rules that are set up to scan different parts of the database and perform automated tasks like email updates, task/calendar events, and field updates. It its simplest use for example, they can scan critical deal milestone dates and trigger emails, and/or calendar tasks and events so that any party you choose, gets reminded ect. There are several more advanced features to be sure. At a minimum, the end result has enabled me to operate my business from my smart phone, ipad or ANY computer. I have also found that with a regular DSL connection, ZOHO operates as fast as the desktop ACT software. I have a great deal of peace of mind, knowing that I don't need any application software or specific computer to work (and work from anywhere). As an owner of a small firm, I can see using this at the real estate firm level to enable agents to start out of the gate with a fully functioning CRM while having the ability to perform lead assignments without needing more application software. I am crossing my fingers that ZOHO prices do not go up. I don't think they will as their sales proposition is 'more for less'...
